February 9, 2026

1. Call to Order (1 min)

  • Welcome and attendance - Tim, Nick, Carmen, Nicole, Gerald, Kristen, Jamie, Honey, Dawn, Scott, Mark
  • Confirm quorum - Confirmed

2. Approval of Agenda (1 min)

  • Motion to approve current agenda - Nicole motions, Nick seconds.

3. Approval of Previous Meeting Minutes (1 min)

  • Review and approve minutes from January 15, 2026 - Nicole motions, Nick seconds.

4. Executive Updates (10 min)

  • President’s Report (Tim Chilcott) Everything is going well with the Basketball season and Soccer registrations have opened.
  • Treasurer’s Report (Carmen Crabtree) - Carmen provided statement of activity. More income is coming in for Soccer registrations
  • Registrar’s Report (Tim Chilcott) - Basketball 148 kids signed up. 30 more than last year. Soccer is at 43 signups so far. To start charging a late fee for late registrations - $10/$15. Nick motions to approve the late fee for registrations, Kristen seconds. All approve and motion, vote passes.

5. Program Updates (10 min)

  • Soccer (Tim Chilcott) - May 30th last game of the season. Fall soccer TAT registration ends Aug 9th. Ending October 12th. Spokane Velocity contacted Tim about last years progress. Velocity recategorized us and wants to use us as an example for partnership. We now have opening bid on first game. They will put graphics on the score board, we do not have to work in their team store. We have to table games, one men and one women's game one for spring and one for fall. They will send Tim a link and we can start selling tickets, we will get a kick back from sales. Kids will be able to do player walkouts, pictures after and activities at half time.  We can also take the kids to Spokane and they could get multiple players from each team for a soccer clinic. Opening game is March 15th 3pm. Soccer needs first aid kit audit, who gets them and resupply rules.
  • Basketball (Tim Chilcott/Megan Moore) going well. There was an incident at the schools with kids stealing from lockers at the facilities. Parents were talked to. Schedules are online. Jeff McCormick stepped up to help ref games. He has had a teaching mentality and has been paired with high school kids during games.
  • Volleyball (Jaime Peone) - no updates.
  • Flag Football (Tim Chilcott) - Starting flag football program. 8 week season, 2 weeks of practice, and 6 weeks of games can be changed. June 1st first day of high school camp. 5 on 5 or 7 on 7 depending on skill level. There are teams out there that we can play with. Age groups are 2nd grade, 4th grade, 5th grade, 6th grade, 7th grade, and 8th grade. USA football training for flag football coaches. Registration to end on May 17th. Meet the Team night June 1st. June 11th first game. Thursday night games. Season ending July 16th. Equipment needed: Paint, Flag, football, mouth guards, flat cones. Refs: Parents a lot of times are the officials, need to follow field rules. Fields need to have start yard marker, every 10 yards.

6. Volunteer & Operations (10 min)

  • Concessions (Dawn Stiles) - no updates. Dawn has been set up with a volunteer teams so she can send messages in the Sports Engine app. She has been able to get help for games.
  • Ref/Umpire Coordinator (Megan Moore) - March 24th referee clinic
  • Fields & Grounds (Nick Tucker) - no updates. Schools do not have the man power of field maintenance. Nick to reach out to lawn care/people that work odd jobs.
  • Safety (Kristen Hunt) - safety kits for all bags. Need to order supplies if we need. 1 large first aid kit, one small kit from POYSA era. Every bag is to have a coach kit that includes a first aid kit. To get all bags kits then restock from there.
  • Equipment & Uniforms (Gerald Steeno/Tim Chilcott) - Some children are playing with the wrong sized basketball. We need to inventory and purchase correct basketballs and will have an expense for next year. Looking ahead to soccer season, there are 2 ball bags that are old and cracked. 2 orders of balls are on their way. Gerald to count tomorrow and get a number of current inventory. Jersey order in the future but jerseys are getting reused over multiple sports. Everyone has been getting jerseys on time when ordered.

7. Communications & Outreach (10 min)

  • Sponsorships (Tim Chilcott) Velocity partnership mentioned above. To sell T Shirts at games, POSA swag. To put together a Kalispel grant wishlist.
  • School Partnerships (Honey Smith) no updates. Everything is going well, everyone is happy with our communications. No news is good news on janitors. Healthy Habits - how to fuel your body, rest and recover. Newport Health Services interested in helping talk about these topics.

8. Old Business (30 min)

  • AAU tournament. Sell T Shirts that has tournament logo on it. 1st/2nd/3rd print with tournament logo and placement. POSA to supply award t shirts for 1st/2nd/3rd. 9 teams are already signed up, proceeds go to AAU.

9. New Business (15 min)

  • Updated bylaws. Tim to send document to the board, language around POLL has been removed. Online participants to have the opportunity to vote. Nick motions to approve updated bylaws, Gerald seconds. Board votes and approves updated bylaws, vote passes.
  • Basketball awards night to have awards at the same time as the tournament. Pass all awards out at the same time.
